COSPONSORSHIP AGREEMENT REQUIREMENTS
The initial reservation must be made by a recognized UW-Eau Claire student organization or sport club in good standing. The initial reservation will be made under the “tentative” provision and the student group will have 15 business days to complete the cosponsorship agreement in order for the reservation to become confirmed.
Cosponsorship involves more than a mere endorsement of the non-university organization or its proposed function or activity. “Sponsorship” includes the responsibility for the activity and includes being responsible for all communication, promotion and event responsibilities of the event.
In order to be a cosponsored event all the following must be true:
The student organization, along with its advisor, has met with the Student Organizations Coordinator to receive the cosponsorship agreement form. Following its completion the form has the signature of the Student Organizations Coordinator and the Director of the University Centers.
All event revenues are deposited into the sponsoring student organization's account. All event-related expenses and damages will be paid for by the sponsoring student organization. The student organization is responsible for all sales tax and other tax-related implications of their event.
The student organization's officer(s) and advisor will be present in all meetings,
event communication, rehearsals as well as the event, and serve as the main point of contact for the event.
All advertising and promotion of a cosponsored event clearly identifies the sponsoring student organization. The name of the student organization must be prominently displayed on any event-related communication including the actual event in all spoken word, written word or physical activity contained with the event.
All hospitality, food, beverage and alcohol service is arranged through Blugold Dining. Catering Services is located in Davies Center 250. Phone 715-836-5261; fax 715-836-3814.
Per state and UW-Eau Claire policy; all merchandise sales on campus grounds are subject to a 10% charge.
The event has been reviewed by the Event Services office in conjunction with the University Police and the Loss Prevention and Safety office. Any related event production equipment, event staffing, security and insurance concerns have been addressed and outlined by the Event Services office. The sponsoring student organization realizes it are responsible for arranging and paying for these requirements in addition to any other event-related charges outside of normal Category 1B event charges.
Authorized use of the facilities does not in any way constitute a UW-System, University of Wisconsin-Eau Claire, University Centers, Event Services, State of Wisconsin, County of Eau Claire or City of Eau Claire endorsement of the sponsored organization, its views, objectives or program content.
